Admin Assistant (1-3 yrs)
- Welcomes visitors by greeting, directing them, in person, if required, and manage them to meet the right personnel in the office
- While there are clients visiting the office, it is important to personally direct them to the meeting or conference room informing to their meeting official and make them comfortable
- Responsible for handling Hospitality of visitors/ clients and keep their Hotel, Food, Travelling, Ticket booking & its payment details in Hospitality Register (Hotel Stay, Food, Travelling, Ticket Booking & Payment)
- All the hotels and restaurant contract and quotation details shall be filed in Hotel & Restaurant Contract & Quotation File
- It has to be ensured that all clients/ visitors are offered water, beverages by the peons
- If advised by officials, snacks or lunch has to be arranged and served by the peon in the conference or canteen
- Attend (within a ring or two), answer, screen and forward any incoming phone calls at the reception at the earliest while providing basic information when needed
- Manage to solve any queries or inquiries received on the telephone call at the reception in appropriate way
- Managing all inward and outward courier and internal Tapal between factory and Head office
- File and manage all contracts of the courier in a Courier Contract File
- Maintain all outgoing courier details in Courier Outward
- Maintain all incoming courier details in Courier Inward Register
- Responsible for handling office pantry in terms of all its incoming materials and its costs
- Responsible for handling Drivers and Peons, by keeping their track records
- Responsible for housekeeping of Head office and ensure safe and clean reception area, office area and pantry by complying with procedures, rules, and regulations
- Ensure that the tasks are properly followed as per Housekeeping Schedule - Location & Task Wise by all the peons
- Ensure that Housekeeping checklist - Location & Task Wise
- Have to maintain stationery stores by purchasing stationery items as per the requirement and following procedure for issuing materials to the new joinee and required employee by maintaining all its inward-outward data manually/online
- All the quotations relating to stationery shall be filed in Stationery Printers & Other Contract/Quotation/Price List File
- Printed stationery stock details shall be maintained in Printed Stationery Stock Register
- Responsible for all office vehicles including two wheeler and car & its movement.
- List of all the office vehicles shall be maintained in List Of doing office vehicle management by keeping track the availability and movement of all official and directors vehicles
- Doing entry and maintaining any above related data in ERP software
- Any work allotted by management as and when required
