Admin/Facility Manager - Office Management (8-20 yrs)
Job Description :
- Ensure compliance with statutory regulations on fire, health and safety standards.
- Ensure all safety procedures Business Continuity and Emergency Procedures are maintained at all times.
- Prepare MIS and reporting to the COO
- Should have Experienced in Preparing SOP's and Policies
- Prepare Budgets for admin and facilities, the procurement process for AMC and other utilities.
- Manage the required office services to support department operations.
- Responsible for vendor Negotiations, Raising POs, and verification of measurements for bills processing.
- Act as liaison with our facility landlord for maintenance needs.
- Assist on any ad-hoc tasks as required by the organization.
- Provide full admin support to the team and department
- Synchronizing all the departments
- Management of office equipment
- Handling external or internal communication
- Organizing, arranging and coordinating meetings
- Oversee the storage and disposal of records as per the retention schedules and policies
- Keep abreast with all organizational changes and business developments
- Manage the infrastructure including Cafeteria & Pantry
- Liaison with the building authority to ensure completion of all facility related issues wherever applicable
- Manage employee transport roaster and ensure proper routing of the cabs to reduce travel time.
- Perform cost analysis of all areas of admin expenses to project expenses incurred and to forecast cost and identify the ways to reduce cost
- Manage all vendors by identifying their performance metrics, analyzing it and making necessary changes in vendor association
- Prepare and execute a budget for all admin related activities
- Manage House Keeping and security personnel to avoid staff shortage leading to incompletion of the task assigned.
- Monitor and analyze third-party contractors' performance to ensure expected service delivery
- To be responsible for the day to day running of the office including supply management and liaising with various vendors..
- Draft, implement and communicate admin related policies & procedure
- Interpret instructions and issues arising, and then implement actions according to administrative policies and procedures.
- Conduct all regular repair and maintenance of facility as required
- Adhere to procedures relating to the proper use and care of equipment and bring about awareness among the employees regarding the same.
- Should have experience in Travel, Immigration, and visa processing
- Should have experience in arranging international and domestic tickets for employees
- Assistance to Employees to obtain Passport as well as various visa
- Arranging the employee transportation and airport transfers
Eligibility :
- Proven experience as administration & Facility Manager
- At least 10 years of experience in management, finance, sales or a relevant business role.
In-depth understanding of office management procedures and departmental and legal policies
- Bachelor's Degree / Masters in Business Administration,
