Administrative Assistant (2-5 yrs)
Job Description
We are looking for a passionate Administrative Assistant who is positive, takes ownership,demonstrates attention to detail & has good interpersonal skills.
Roles & Responsibilities :
Project Management :
The Corporate Strategy (CS) team works on several types of market intelligence, short & long form strategy & organizational analytical projects. In your role, you will:
- Work with the unit leaders to construct a project management framework towards tracking, capacity mapping, completion & impact assessment vis--vis goals for the team
- Work collaboratively with the team to conduct administrative management & governance and ensure timely completion of projects with the highest productivity
- Create & update dashboards, systems to reflect project updates
- Help the unit leaders to streamline planning for capacity, intake & delivery of projects
- Ensure that we follow structured measures for all projects- including scoping, knowledge management, QC checklist, reviews, delivery, readout and feedback loops
- Prepare report updates for the unit leadership & senior stakeholders as required
- Adopt modern tools, approaches (Kanban, SCRUM, Waterfall, Lean), models (RACI- ) and platforms to drive project management in a simple & efficient manner
- In the long term, establish frameworks, best practices & playbooks to set up and drive a PMO Talent Engagement
The CS team is a key unit that works closely with key stakeholders in the Corporate & Business Units. In your role, you will :
- Work closely with the Cultural Ambassadors of the Unit to drive the adoption of Flex Ways of Working as well as any new HR initiatives
- Collaborate with the team to facilitate intermittent social events- workshops,speaker series
- Work closely with the unit leaders to help coordinate any initiatives around Learning & Development, and talent development
- Update team related documents such as bios, Sharepoint site, Holiday calendar
- Facilitate the Onboarding process & initiation for new joinees
Vendor Management/ Research Partnerships :
The CS team purchases several databases and engages with analyst & consulting firms.
In your role, you will :
- Manage the procurement & renewal of new & existing databases and consulting partners as required by our team
- Coordinate with stakeholders among vendors, indirect procurement, legal & approvers, and finance
- Streamline the process, reduce the number of steps and time taken, and drive efficiency- in turn to strengthen our relationships with our partners
Experience & Qualifications :
- 2-5 years of experience in project management & administrative support
- Bachelor's degree required; advanced degree preferred
- Proficiency in MS Office, especially PowerPoint and Excel
- Strong interpersonal skills, collaborative, team player
- Fluency in English, location preferably in Chennai (on-site
