Job Summary:
We're seeking a skilled Personal Assistant to support our MD & CEO. The ideal candidate should be highly organized, detail-oriented, and communicative, with excellent communication skills and the ability to work in a fast-paced environment while maintaining confidentiality.
Key Responsibilities:
- To organise daily schedule and appointments.
- Making travel arrangements (including international), hotel bookings, visa requirements etc. with minimal supervision, within known preferences
- Liaising with the Director and actively updating his work plan, projects and responsibilities, including monitoring of commitments and deadlines
- Making arrangements for Strategic Management Group, Board and Board sub-committee meetings, including booking rooms, arranging catering, travel arrangements for external participants and collation and circulation of relevant papers and agendas.
- Managing the Directorate filing systems, mailing list and contacts database, taking telephone messages and dealing appropriately with incoming and outgoing post.
- Participating in team meetings, retreats and other institute events.
- Supplying comprehensive information in response to internal and external requests to include in website/intranet services.
- Basic library and internet searches and presentation of information in appropriate formats.
- General secretarial support for the Director of Strategy Operations and Development Officer as required.
- Writing minutes if the meeting.
- Co coordinating with other senior of the company
- Getting updates from different vertical of the company and briefing MD about the same.
- To prepare synopsis of different proposals placed before MD for approvals and brief about the same.
- Other clerical duties and special projects as arise.
Qualifications:
- Graduate in any discipline
- 5+ years of experience
- Excellent communication, organizational, and time management skills
- Ability to maintain confidentiality and handle sensitive information
- Proficiency in Microsoft Office and Google Suite
