Axio Biosolutions - Executive Assistant to Director (3-6 yrs)
Roles and Responsibilities:
- Assist primarily the CEO with organizational, financial and personnel management on a daily basis.
- Conduct detailed research and prepare background info for key business meetings and/or decisions
- Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
- Email / Social media management for Director, keep track of official correspondence
- Work with the Director to manage his/her calendar/ schedules
- Maintain effective liaison with all divisions and departments within the firm.
- Plan, organize and manage staff meetings to be attended by the Director, prepare MOM and follow up on the tasks/ action decided in the meetings
- Ensure that key dates and events are highlighted to the Director ahead of time.
- Prepare important MIS reports and Power Point Presentations for the management.
- Respect the need for confidentiality and sensitivity of the information.
- Filter general information, handling queries, phone calls and invitations to the CEO by redirecting or forwarding such contact as appropriate.
- Facilitating and managing logistics for key events and projects to include: onsite/offsite employee functions, team building, all-hands meetings, performance reviews, operational planning meetings
- Coordinate internal and external meetings greets visitor/ arrange logistics for the meeting/ setting up meeting rooms, VC & Conference calls etc. Timely reminder of the meeting schedule.
Skills and Qualification:
- Masters in Business Administration
- Advanced problem solving and planning skills to manage deliverables and timelines
- Good organizational skills to manage high-level communication with both internal and external stakeholders
- Ability to communicate at all levels of the organization, driven, motivated to continually learn
- Ability to successfully manage complex, fast-moving and unexpected communications & challenges in order to deliver great results
- Strong MS Office skills, specifically strong working knowledge of MS Excel (formulas, lookups) and PowerPoint
