Cambridge University Press - Manager - Administration (5-7 yrs)
1. Job Purpose :
- To contribute to the Press's day to day operations, plan and coordinate administrative procedures and systems and devise ways to streamline processes.
- Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
- Monitor costs and expenses to assist in budget preparation. Oversee facilities services, maintenance activities and tradespersons (e.g electricians). Ensure operations adhere to policies and regulations
2. Principal Accountabilities :
Administrative tasks :
- Managing & supervising the administrative activities for various departments including support staff.
- Ensuring smooth operations for Pan India offices.
- Dealing and ensuring work from vendors along with maintain records, prepares reports, and composes correspondence relative to the work.
- Maintain and replenish inventory for Stationary, Housekeeping material. Check stock to determine, inventory levels, Anticipate needed supplies. Verify receipt of supply.
- Making contracts, ensuring timely payments and keep a check for its renewal.
Event planning and scheduling : Overseeing all arrangements related to conference, meetings, training and any sort of events organized.
Office Coordination : Working closely with Finance, HR and other verticals and meeting their requirements for smooth operations.
Procurement :
- To manage procurement in a manner that is transparent, fair, and in accordance with policy and ensures value for money, and keep proper records; ensure all service providers and suppliers are effectively managed.
- Submission for processing bills and ensuring payment as per their cycle.
- Managing PO system and training team when required.
- Negotiating with vendors and bringing new vendors on board.
Employee Help Desk :
- To ensure effective office security, including liaison with security company and ensuring adherence to office security policies for all staff and visitors;
- To ensure that office premises are in good state of repair and maintenance at all times through liaison with service providers
Vendor Management and Maintenance :
- Dealing and constant touch with all vendors regarding maintenance, quality service, execution of work and day-to-day activity.
- Ensuring weekly, monthly, quarterly service for respective domains such as Coffee vending machine, coke vending machine, Air heating Unit, Carpet Cleaning, Duct cleaning, etc.
Travel Management :
- Arranging and managing of extensive travel booking of Cambridge employees in regards to their Air, Hotel, Rail and Bus.
3. Knowledge and Experience :
- Proven experience as administration manager,
- 5-6 years of relevant experience with a graduate degree from a reputed college/University
- In-depth understanding of office management procedures and departmental and legal policies
- Familiarity with financial and facilities management principles
- An analytical mind with problem-solving skills, good interpersonal skills
- Excellent organizational and multitasking abilities
- Proficient in English & Hindi Language
