Purpose of the position :
- The Executive Assistant & Office Manager is a key support position managing the day-to-day business activities of the Managing Director's office. The role requires liaising among team members and the MD including coordinating meetings with internal and external stakeholders, supporting members of the cKinetics team with ad hoc administrative needs and supporting day-to-day operations of the office.
Key Responsibilities :
The role envisages the following three areas of activities :
Executive Support :
- Supporting top management and members of the executive office
- Reviewing and summarizing miscellaneous reports and documents; preparing background documents and outgoing mail as necessary
- Contracts documentation and oversight d. Being responsible for calendar management and travel schedules for executive management as needed
Office management :
- Up-keep of all office equipment
- Records management and filing
Other Support :
- Supporting personnel and HR matters for fillings of EPF, ESIC and other employee filings
- Enhancing systems to enhance satisfaction of the team
Candidate Requirements :
- The ideal candidate will be experienced in handling a wide range of tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy administrative challenges.
In addition, She/he must have the following mindset and skills sets :
- The ability to interact with the team (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role.
- Excellent verbal and written communication skills in English
- Strong decision-making ability and attention to detail
- Ability to multi-task and be goal oriented
- An excellent grasp of the Microsoft office suite and online tools
- A steady employment background that demonstrates sincerity to one's role
Academic qualifications & Experience:
- Bachelor's Degree or equivalent experience
- 5+ years of experience in the kind of role described above
