Coca-Cola - Executive Assistant (3-5 yrs)

Job Function /Sub Function :
Job Objective : Assisting the Manager, In-house and External coordination, Travel and Accommodation arrangements, Cost Management, Support during events, Administrative assistance to the Manager.
Job Responsibilities :
- Manage schedule for executive managers.
- Prepare financial statements, database, spreadsheets, and memos.
- Make invoice reports, letters, and presentation of software.
- Analyze the memos, letter, and data before submission and then distribute them accordingly.
- Receive visitors who have an appointment with managers.
- Prepare, sort and dispatch correspondence via email and fax.
- Retrieve documents, corporate records, and information and prepare responses of routine inquiries.
- Schedule travel plans of senior level officers.
- Answer and manage incoming calls
- Conduct research, analyse and collect data to prepare reports and documents
- Design and maintain databases.
- Liaise with internal staff at all levels
- Review operating practices and implement improvements where necessary
- Record, transcribe and distribute minutes of meetings
- Acting as representatives in meetings, conferences, and seminars.
- Arrange seminars, conferences, and client meetings.
- Deal with clients and carry out successful business.
- Required basic understanding of sales.
- Need to have experience in making business presentation
- Understanding of Analytics is required
Percentage of time spent is based on the working style and the priorities.
Position Reports To :
Administrative Reporting : Chief Commercial Officer
Supervises : Chief Commercial Officer
Key Customer :
Internal /External Customers :
- Internal Customers are other departments. This role requires coordination with everyone in the organization at all levels.
- External Customers are external bodies, govt. bodies, vendors, other organizations etc.. This completely depends on the industry and the department the Executive Assistant is working for.
Job Requirement :
Minimum Education :
- Bachelor's degree
- Proficient computer skills and knowledge of MS Office
Minimum Work Experience : at least 3 years- experience providing support at a high level
