Job Summary:
The Executive Assistant to the Founder is responsible for providing high-level administrative support to the Founder. This role involves managing the Founder's calendar, coordinating meetings, handling communications, and assisting with personal and professional tasks. The ideal candidate is proactive, detail-oriented, and able to work in a fast-paced environment while maintaining a high level of confidentiality.
Key Responsibilities:
Calendar Management:
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Ensure the Founder's calendar is up-to-date and conflicts are resolved promptly.
Communication Management:
- Act as the first point of contact for all communications, including emails, phone calls, and messages.
- Draft, review, and send out communications on behalf of the Founder.
Meeting Coordination:
- Prepare agendas, take meeting minutes, and follow up on action items.
- Organize internal and external meetings, including team meetings, board meetings, and client meetings.
Document Management:
- Prepare and manage documents, reports, and presentations.
- Handle confidential information with discretion.
Project Management:
- Assist in managing projects, ensuring deadlines are met and tasks are completed.
- Coordinate with various departments and external stakeholders as needed.
- Collect and analyze data to provide insights and recommendations for optimizing the Founder's decision-making process
- Assist the founder with various projects, research, and special assignments, providing administrative and logistical support
- Create necessary presentations, data & reports for internal & external forums, meetings and reviews
Personal Assistance:
- Assist with personal tasks such as scheduling personal appointments, managing household staff, and running errands.
- Handle any other ad-hoc tasks as requested by the Founder.
Relationship Management:
- Build and maintain relationships with key stakeholders, clients, and partners.
- Ensure a positive and professional image of the Founder is maintained at all times.
Qualifications:
Experience: 5+ years of experience as an Executive Assistant, preferably supporting C-level executives.
Education: Master's degree in business administration, Communications, or related field (preferred).
Skills:
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Ability to handle confidential information with discretion.
- Proactive, resourceful, and able to anticipate needs.
