Executive Administrator - Facilities Management (2-3 yrs)
Administration duties and responsibilities of the job :
1. Manage schedules and deadlines
2. Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
3. Monitor costs and expenses to assist in budget preparation.
4. Oversee facilities services, maintenance activities and tradespersons.
5. Organize and supervise other office activities (recycling, renovations, event planning etc.)
6. Prepare annual maintenance contracts for various services provided by outsourced companies and other vendors.
7. Ensure invoices are received in a timely manner, review and process them for payments.
8. Assist with preparation and communication of tender notices relating to various projects throughout the year.
9. Timely delivery of materials ordered by following-up/coordinating with vendors.
10. Dealing with email enquiries
11. Taking minutes of meetings
12. Handling Enterprise Resource Planning ( Customer Relationship Management, Human Resource Management, Manufacturing Resource Planning & Financial Management)
13. Managing day-to-day correspondences and complete admin administrative support to the senior management.
14. Arranging Conference, FITS, MICE Packages, & Client Handling.
15. Prepare and edit a variety of high quality, written agreements, memos, letters, and other documents.
16. Acting as one point contact for all administrative matters like maintenance work, Telephone lines, mobile phones, logistics and courier services, procurement, storage and issue of stationery and compensation of employees
