Executive Assistant (4-12 yrs)
Job Summary :
We are seeking a highly skilled and organized Executive Assistant to provide comprehensive support to our Partners and Directors. The successful candidate will play a crucial role in ensuring the smooth functioning of our executive team by managing their schedules, coordinating meetings, handling correspondence, and undertaking various administrative tasks. The ideal candidate should possess exceptional communication and organizational skills, as well as a proactive approach to problem-solving and the ability to maintain confidentiality in a fast-paced and dynamic environment.
Responsibilities :
- Manage and maintain the calendars of the Partners and Directors, including scheduling and coordinating meetings, appointments, and travel arrangements.
- Act as the primary point of contact for internal and external stakeholders, demonstrating professionalism and maintaining confidentiality in all interactions.
- Prepare and edit correspondence, reports, presentations, and other documents as required.
- Coordinate and prepare meeting agendas, materials, and minutes, ensuring timely distribution and follow-up on action items.
- Screen and prioritize incoming emails, calls, and requests, directing them to the appropriate individuals and providing necessary information when possible.
- Conduct research and gather information on various topics to support decision-making processes.
- Anticipate the needs of the Partners and Directors, proactively identifying opportunities to streamline processes and improve efficiency.
- Assist in the preparation of financial reports, budgets, and presentations.
- Maintain and update confidential files, records, and databases.
- Coordinate and organize special events, conferences, and company-wide meetings.
- Assist with ad hoc projects and assignments as needed.
Qualifications :
- Bachelor's degree in business administration, communications, or a related field is preferred.
- Proven experience as an Executive Assistant or similar role supporting senior executives.
- Excellent written and verbal communication skills, with the ability to draft professional documents and correspondences.
- Exceptional organizational and time management abilities, with the capacity to prioritize tasks and handle multiple projects simultaneously.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong attention to detail and accuracy in work.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Strong interpersonal skills and the ability to build relationships with individuals at all levels of the organization.
- Proactive and resourceful problem-solving skills, with the ability to anticipate needs and take appropriate action.
