Executive Assistant (5-9 yrs)
Position: Executive Assistant
Job Overview:
As an Executive Assistant, you will play a pivotal role in supporting high-level executives and ensuring the smooth functioning of the executive office. This position requires a proactive, detail-oriented individual with excellent organizational and communication skills. The Executive Assistant will be responsible for managing the executive's schedule, handling confidential information, coordinating meetings, and providing administrative support to enhance overall productivity.
Key Responsibility Areas:
1. Calendar Management:
- Schedule and coordinate appointments, meetings, and events for the executive.
- Anticipate scheduling conflicts and proactively resolve them.
- Keep the executive informed of upcoming commitments and responsibilities.
2. Communication:
- Act as the primary point of contact between the executive and internal/external stakeholders.
- Manage email correspondence and prioritize messages, ensuring timely responses.
3. Travel Arrangements:
- Coordinate domestic and international travel arrangements, including flights, accommodations, and transportation.
- Prepare detailed itineraries and ensure travel plans align with the executive's preferences and priorities.
4. Document Preparation:
- Draft, edit, and proofread documents, presentations, and reports on behalf of the executive.
- Handle sensitive and confidential information with the utmost discretion.
5.Meeting Coordination:
- Organize and coordinate meetings, conferences, and other events.
- Prepare meeting agendas, materials, and follow-up action items.
6. Project Support:
- Provide support on special projects, research assignments, and presentations as assigned by the executive.
- Collaborate with other team members to ensure project deadlines are met.
Qualifications:
- Bachelor's degree in any stream.
- 5 to 7 years- proven experience as an executive assistant or in a similar role.
- Strong proficiency in Microsoft Office Suite and other relevant software.
- Exceptional organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- High level of professionalism and attention to detail.
Preferred Skills:
- Good at making report.
- Proficient in Microsoft Office specifically PPT and Excel.
- Experience in making travel bookings.
- Previous experience in a corporate or executive office environment.
Working Conditions:
- 11.00 AM to 8.00 PM.
- This is a complete Work from Office position.
- Week Offs: Friday and Saturday
Salary Range:
8 LPA to 11 LPA
