Executive Assistant - BFS (5-8 yrs)
Responsibilities :
- The person should have good exposure in end to end Admin & Facility, security, transport, budgeting, process management, compliance, space utilization, general administration.
- Ownership of the day-to-day administration & Facilities.
- Manage a team of third-party logistics staff.
- Ensure meeting the defined SLAs for all administration services.
- Monitor vendors and service provider's performance regularly to ensure quality of service/ delivery within specified timelines.
- Manage various admin functions including facilities management, office maintenance, housekeeping services, security services, transportation and office build outs.
- Ensure that systems and procedures as laid down by management are strictly complied with & to also provide inputs for possible improvements in the service.
- Organize, analyze, interpret and evaluate results and provide practical cost-effective solutions.
- Identify and negotiate with new vendors.
- Ensure compliance to statutory norms and requirements required for smooth functioning of services and office.
- Accountable for internal and external administration audit.
- Building Maintenance - AMC's, Fire safety etc.
- Aid managing all administrative functions, security issues and facility services and any other administrative functions.
- Ensuring an adequate supply of consumables/materials and service for the proper operation of services and enter into supply and service contracts as per company policy.
- Maintain appropriate stock levels of all consumables to ensure smooth operations & escalate in time to achieve availability of stocks.
- Statutory compliance check of all vendor invoices aligned with finance to process
- Routinely inspect all services to ensure performance measures are being maintained.
- Building Maintenance - AMC's, Fire safety etc.
- Ensuring an adequate supply of consumables/materials and service for the proper operation of services and enter into supply and service contracts as per company policy.

- Excellent interpersonal and communication skills and the ability to interact with individuals at all levels of the organization.
- Resourcefulness with strong problem-solving skills.
- Excellent time management skills and understanding of the urgency of matters relating to the department.
- Strong judgment, emotional intelligence, and integrity are essential for this position. In addition, the candidate must be comfortable working in a high-energy, collaborative, professional environment with an evolving culture as a result of continuous growth.

BASIC QUALIFICATIONS :
- Graduation/Post Graduation in any stream
- 5-8 years of previous Administration and Facilities experience
- Proficiency in Microsoft Office
