Executive Assistant - Contractual (4-8 yrs)
As an Executive Assistant, you will play a pivotal role in supporting and enhancing the productivity of our executive team, which includes a CEO. You will be responsible for ensuring smooth and efficient operations within the executive suite while maintaining the highest levels of confidentiality and professionalism.
Key Responsibilities :
- Strategic Support: Act as the primary point of contact for the CEO, providing high-level support in managing their schedules, emails, and meetings.
- Information Management: Organize and maintain all sensitive and confidential information, ensuring data accuracy and accessibility.
- Communication: Prepare and review reports, presentations, and communications on behalf of the CEO, ensuring accuracy and consistency in messaging.
- Project Coordination: Assist in managing and coordinating special projects, strategic initiatives, and high-priority tasks assigned by the CEO.
- Travel and Logistics: Plan and manage travel arrangements, itineraries, and accommodation for the CEO, including international travel.
- Meeting Coordination: Schedule, coordinate, and prepare materials for executive meetings, both internal and external.
- Documentation: Draft and edit executive-level documents, including meeting minutes, policies, and procedures.
- Stakeholder Engagement: Interact and build relationships with key stakeholders, both internal and external, on behalf of the CEO.
- Data Analysis: Conduct research, gather data, and perform analysis to support executive decision - making.
- Problem Solving: Address complex and time-sensitive issues, finding efficient solutions to ensure the smooth operation of the executive suite.
Qualifications :
- Minimum of 4 years of relevant experience in executive support or a related role.
- Bachelor's degree in a relevant field (business, management, or similar) preferred.
- Exceptional organizational skills with an eye for detail.
- Strong communication skills, both written and verbal.
- Proficiency in MS Office suite and other productivity tools.
- Proven ability to handle sensitive and confidential information with the utmost discretion.
- Excellent time management and multitasking capabilities.
- Adaptable and capable of working under pressure in a fast-paced environment.
