Executive Assistant - MD Office - Manufacturing Sector (6-16 yrs)
Position: Executive Assistant - MD Office
Location: Chennai
Mandatory:
1. Minimum 6-10 years of experience in Executive Asst role reporting directly to Leadership Team
2. Excellent written and verbal communication skills
3. Strong time-management skills and the ability to organize and coordinate multiple projects at once
4. Proficiency in office productivity tools, with aptitude to learn new software and systems
5. Problem solving ability and willing to do what it takes to get the job done; adaptable and enjoys a challenge
6. Ability to keep company confidences
7. Any Degree
8. Strong command of English, Tamil, Hindi and a foreign language
9. Should have a 2-wheeler or 4-wheeler to commute between Corporate office / factories/ out of office meetings.
Desirable:
1. Worked in manufacturing sector
2. MBA
Job Purpose:
To be supportive to the MD & ED and helping them reduce their time on routine and operational tasks both at Corporate office and factories
Job Profile:
1. Manage professional and personal scheduling including agendas, mail, email, calls, client management, and other company logistics
2. Ensuring the tasks assigned to different departments / individuals are followed till complete and reporting back to MD/ED.
3. Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to HODs-
4. Responsible for the Facebook, twitter etc. personal accounts of MD & ED to be tracked and updated based on suggestions from MD/ED/Marketing teams.
5. Manage and coordinate meetings for Leadership Teams both internal and external
6. Perform administrative and office support, MIS reports in spreadsheet, ppt creation, and maintenance of filing system and contact database
7. To prepare Minutes of Meeting, Follow up Schedules of Leadership Team with various stakeholders - both internal and external
8. To collate periodical and adhoc reports from various HODs / SPOCs and prepare a consolidated report with analysis for perusal by MD & ED.
9. To contact key doctors and other higher officials in different Governments/ Trusts and keep MD & ED updated on their requirement and reporting to them on behalf of MD/ED.
10. Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
