Job Summary:
We are seeking a detail-oriented and highly organized Executive Assistant to support our Business Head in day-to-day operations. The ideal candidate will manage executive schedules, coordinate travel, provide administrative support, and assist with event planning. This role requires a proactive approach, excellent communication skills, and the ability to manage multiple responsibilities efficiently.
Key Responsibilities:
1. Calendar Management:
- Coordinate and manage the executive's schedule, ensuring appointments, meetings, and travel arrangements are efficiently planned and organized.
2. Travel Management:
- Handle all travel arrangements, including domestic and international bookings for flights, hotels, visas, forex, and transportation.
- Prepare detailed travel itineraries.
3. Administration Support:
- Manage and organize documents, files, and records for easy access.
- Handle expense reports, budgeting, and invoicing processes.
- Ensure efficient office administration for the Business Head's office.
4. Event Planning:
- Assist in planning and organizing corporate events, conferences, and social functions.
- Coordinate event logistics, including venue selection, catering, and guest list management.
5. Purchase Orders and Requisitions:
- Create purchase orders and generate purchase requisitions using SAP.
6. Office Management:
- Support day-to-day activities of the Business Head and manage their office effectively.
- Maintain records of the impress account.
7. Interview Scheduling:
- Arrange interviews for selected candidates, coordinating in-person meetings, Skype, and video conference calls.
8. Presentation Preparation:
- Compile presentations for monthly review meetings and townhall events.
Skills and Qualifications:
1. Strong organizational and time management skills.
2. Excellent verbal and written communication skills.
3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
4. Ability to handle multiple tasks and prioritize effectively.
5. Knowledge of SAP for creating purchase orders and requisitions is an added advantage.
