Job Description :

- Requirement of a Resourceful, Enthusiastic Individual who is Self-motivated, Hardworking and an experienced Executive Assistant.

RESPONSIBILITIES AND DUTIES :

As an Executive Assistant to the CMD your responsibilities include :

1. Manning the Reception area of the office.

2. Receive inbound Calls and transfer the calls to the respective department.

3. Organize, Schedule Meetings and respond to emails / calls on the CMDs behalf.

4. Co-ordinate Calendar travel, meeting, and schedule arrangements with the business partners, and customers.

5. Work on secretarial support for Documentation, Reports preparations, follow-ups, and Calendar Management. Take notes during meetings and follow up with actionable lists for review. Take dictations, transcribe and convert to graphical (or audio/video) representations, as needed.

6. Works closely with other Team members to assure the Management preparation for meetings, presentations or other engagements. Help with all necessary meeting preparations.

7. Reporting and Analysis. Summarize the reports, make presentations for internal and external meetings.

8. Manage National and International Travel Reservations (flights, visas, hotels, etc.)

9. Admin Tasks - Planning travel, organizing business events, visitor assistance, etc.

QUALIFICATIONS :

- Graduates or Post Graduates (e.g. BBA, BMS, BA or any).

- Excellent Communications and presentation skills in ENGLISH (WRITTEN / SPOKEN) and Hindi (spoken).


- Any other languages known would be an added benefit.


- Exceptional communication and interpersonal skills and ability to interact autonomously with internal and external partners.

EXPERIENCE :

1. Minimum of 3-5 years of experience as an Executive Assistant reporting directly to the Senior Management.

2. Proficient in Emails, Google sheets, MS Office, MS Word, and MS Excel. Familiar with basic Research Methods and Reporting Techniques.

3. Experience in Managing multiple priorities, administrative coordination and logistics.

SKILLS:

a. Organization and Communication are key to this role.

b. Candidates must also be exceptionally Organized, with Extensive experience identifying, recording, prioritizing, and accomplishing a wide variety of tasks.

c. Research Ability. Should have an eye for detail, must be quick in observing changes.

d. Proficiency in collaboration with third parties / international customers & business partners.

e. Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.

f. Sensitivity and understanding of Integrity and Confidential matters and ability to protect those accordingly is an extremely important requirement of this role.

g. Well-organized, detail-oriented, ability to multi-task with great follow-up skills.

h. Excellent Team player, flexible with willingness to assist, highly positive attitude, innovative and good problem-solving skills.
