Job Description :
Function : Executive Assistant to COO Division: Administration
Reports to : COO Location: Sultanpur, Delhi.
Roles & Responsibilities :
- Maintain an accurate and detailed calendar for COO, manage and inform incoming scheduling requests, re-schedule meetings upon request, proactively communicate changes, and anticipate and respond to scheduling conflicts
- Track COO's tasks and projects to ensure appropriate prioritization of projects with respect to deadlines and organizational developments
- Organize internal and external meeting for COO.
- Prepare, write and collate departmental reports; Manage active calendar of appointments.
- Manage all detailed travel schedule, itineraries and agendas and compiling documents for travel related meetings.
- Assisting in preparation for meetings, and other executive materials and presentation.
- Review, research and summarize a variety of administrative informational data and prepare related reports.
- Track and reconcile monthly expense reports in a timely manner
- Demonstrate poise and tact under pressure and handle matters with sound judgment and confidentiality
- Provide special project leadership and support as needed.
- Conduct preliminary research on a variety of topics; draft materials as needed
- Perform any other relevant duties as assigned

- Ability to interface with employees, vendors and visitors alike in a professional and friendly manner;
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail;
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners;
- Ability to be proactive to anticipate the executives- needs and have excellent follow through;
- Ability to support preparation of departmental reports;
- Strong organizational and time-management skills with a keen ability to prioritize, multi-task, and work under pressure;
- High degree of independent judgment and ability to handle sensitive and confidential information;
- Professional appearance; Proficient in both soft and hard skills.
- Proficiency in Microsoft Word, Excel, and PowerPoint is required.
Education & Experience :
- Associate's degree in or related field of study is required; Bachelor's degree preferred;
- 3-5 years of previous experience as an administrative assistant including 2 years at the executive level preferred;
- Knowledge of the Furniture Manufacturing industry specifically in operations preferred.
