Position Title: Executive Assistant to MD/CEO.

Location: Hyderabad.

Preference - Male Candidates Only (Telugu Speaking)

Reports To: MD/CEO

Employment Type: Full-Time

Job Summary:

The Executive Assistant (EA) to the MD/CEO is a key role that provides high-level administrative support to the MD/CEO. This position requires a detail-oriented, resourceful, and highly professional individual capable of handling a wide range of administrative and executive support tasks. The EA will act as a liaison between the MD/CEO and various stakeholders, ensuring smooth communication and efficient operation of the executive office.

Key Responsibilities:

Administrative Support:

- Manage and maintain the MD/CEO's calendar, including scheduling appointments, meetings, and travel arrangements.

- Prepare and edit correspondence, reports, presentations, and other documents as needed.

- Organize and coordinate internal and external meetings, including logistics and follow-up.

- Handle confidential information with discretion.

Calendar Management:

- Proactively manage and optimize the MD/CEO's calendar to ensure efficient time management.

- Coordinate and prioritize meeting requests and appointments.

- Anticipate scheduling conflicts and resolve them promptly.

Communication:

- Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the MD/CEO.

- Screen and direct phone calls, emails, and inquiries to appropriate parties.

- Draft and manage correspondence and communications on behalf of the MD/CEO.

Analytical Support:

- Conduct research and compile data to support decision-making processes.

- Analyze reports and summarize key insights for the MD/CEO.

- Assist in preparing detailed and accurate reports, presentations, and business cases.

Project Management:

- Assist in the coordination and execution of special projects and initiatives as directed by the MD/CEO.

- Track progress on projects and provide regular updates.

- Ensure projects are completed on time and within scope.

Office Management:

- Ensure the executive office operates efficiently and effectively.

- Maintain an organized filing system for documents and records.

- Order and manage office supplies and equipment for the executive office.

Event Planning:

- Plan and coordinate executive events, including board meetings, leadership retreats, and company-wide meetings.

- Manage logistics, agendas, and materials for events.

Relationship Management:

- Build and maintain positive relationships with board members, senior executives, and other key stakeholders.

- Facilitate effective communication and collaboration within the executive team and across the organization.

Support Functions:

- Provide administrative support to other senior executives as needed.

- Assist with preparing and monitoring budgets.

- Manage special requests and perform ad-hoc tasks to support the MD/CEO.

Qualifications:

Education:

Bachelor's degree in Business Administration, Healthcare Administration, or related field preferred.

Experience:

- Minimum of 8 years of experience as an Executive Assistant or similar role, preferably in the healthcare industry.

- Proven experience in project management and event planning.

Skills and Competencies:

- Exceptional organizational and time management skills.

- Strong written and verbal communication skills.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

- Ability to handle multiple tasks and prioritize effectively.

- High level of professionalism and confidentiality.

- Strong problem-solving skills and attention to detail.

- Analytical skills with the ability to interpret data and provide insights.

- Knowing Telugu language will be an added advantage.
