Job description :
Below is the additional 2 inputs required in the role for the safety & fire role.
1. Candidate must be trained in the field of Fire Prevention & Protection.
2. He must have done Sub Fire Officer course (01 year) from NFSC (National Fire Service College, Nagpur) or Equivalent Fire diploma from a reputed institute, affiliated with a recognised University
Fire Safety & Security:
- He should have sound knowledge on Fire safety and must be capable of evaluating Fire risks at Site. He will look after the periodic maintenance of Fire equipment i.e. Fire Pumps, Hydrant system, water reservoirs, Extinguishers and Hoses. He should be capable of building and training of Auxiliary Fire squad amongst workers of the company.
- Planning, Development and effective implementation of Security policies and procedures to protect the assets of Company. Ensure Security of man & material inside the complex and related outside Units i.e. Godown /Warehouse etc.
- Carry out effective checking at the gates and inside the complex to ensure there is enough deterrence into the system on Security front. Recruitment & training of Security team as per the job requirement. They should be Firm on action and polite in their behavior.
- Coordinate with other managers to understand their operational needs and help them in achieving best results. Generate Reports / MIS to alert the management on possible RISK
- Coordinate and Respond to all emergencies on Security and Fire Safety front quickly. Mobilization of inside and outside resource as per the need to mitigate the emergency and take change on ground. Inform key personnel in the management and appraise them suitably. Protect company interests in a best possible way.
- Carry out investigation and find out the facts behind. Update management for the suitable corrective & punitive action. Share them during the Training to make people aware on foul practices.
- Take feedback about various functions / activities / initiatives to know anything, you do not know. Develop leads and remain persistent till the truth is known. Upkeep and maintain all Security & Fire Safety equipment in ready to use condition. Ensure good housekeeping in and around all Security locations
Facility Management :
- Manage the leasing, renewals and negotiations for office space for the corporate & guest houses ;
- Facilitate any renovations and additional space requirements including parking arrangements for senior employees and guests.
- Handle the annual maintenance contracts for maintenance of electrical works, networks, telephones and air-conditioners, etc.
Purchases & Outsourced Services :
- Coordinate for the purchase of supplies such as printing & stationeries and services such as couriers maintain re-order levels in the case of supplies and negotiate with vendors on an annual basis to control costs.
- Oversee housekeeping and security contracts, negotiation of services and the routine attendance, salaries and inspection of outsourced staff, etc.
Travel & Accommodation :
- Facilitate vehicles and transportation requirements of employees;
- Conduct annual negotiations for cab services including local and outstation travel.
- Verify travel requests against company policies and approve them accordingly.
- Manage the company car pool to optimize usage to the extent possible.
- Maintain company vehicles including those assigned to senior team ensure that insurance and taxes are paid, facilitate claims if any, renewal of vehicles is done as per policy;
- Manage the company guest house - allocation as well as maintenance with respect to caretaker upkeep, electricity, gardening and housekeeping.
- Coordinate with travel desk for travel requirements of employees based on grade eligibility.
- Establish tie-ups for travel, cab services at other locations and accommodation in service apartments, hotels, etc. to optimize costs.
Employee Support :
- Administer work related facilities such as mobile connections, data cards, etc. and establish usage limits as per company policy and business / functional requirements; advise payroll to recover any excess usage by employees.
- Compare quotations from competing service providers and negotiate for better deals for the company.
- Provide office facilities such as landline connections and EPBX services. Ensure activation of phone lines for new joiners with STD / ISD activations or local calls as required.
Event Support :
- Provide administrative support for training programs and events such as roadshow, reach-out, fun-do, employee birthdays, Diwali celebrations, etc.
- Handle venue and negotiations, transportation tie-ups for bulk booking rates, local commute, and accommodation for guests, etc.
- Make arrangements for audio-visual set-up, gifts, cocktails, catering services / housekeeping, etc. and in-house promotions such as danglers.
- Support any games or outdoor activities planned as a part of events.
Others :
- Send monthly provisions for administrative expenses and any capex to be raised; get approvals from CEO and CFO in case of special events.
- Review the administrative policies and manage deviations if any.
- Build and manage the vendor base and network of contacts for all administrative activities to ensure timely delivery of service levels at optimal costs.
