Marwadi Shares and Finance - Executive Assistant To Director (1-15 yrs)
Job Description :
- The headquarters in Rajkot is looking for a passionate and curious Executive Assistant to support our Director. The candidate will report and assist Director of our company with daily administrative duties and will complete a broad variety of administrative tasks that include completing various reports; composing and preparing correspondence; arranging travel plans, agendas, and compiling documents for meetings. Communicate with the staff on the Management's behalf and coordinates logistics with high-level meetings both internally and externally. Follow strict confidentiality and code of ethics on work details.
Requirements :
- Experience - Minimum 2+ years of work experience as an executive assistant to the top management team in broking industry or financial sector. Prefer candidates with excellent communication skills
- Qualification - Bachelors in Mass Communication or Business Administration or law
- CTC - Based on candidates experience and merits
- Job Location - Rajkot
Responsibilities :
- Work closely with management to collect, organize, analyze, and disseminate significant amounts of information to stakeholders with attention to detail and accuracy
- Adept at queries, report writing and presenting findings, maintain projects
- Answer phones and routine calls and emails on behalf of the Directors and taking or passing on messages to the stakeholders
- Handle basic bookkeeping and project tasks, filing and retrieving corporate records, documents, and reports
- Research data to prepare documents for review and presentation by boards of directors, committees, and executives
- Help the Director to prepare for meetings and accurately recording minutes from meetings
- Greeting visitors and arrange meeting with the Director or Management team
- Ability to organize a daily workload by priorities, meet work deadlines, proactive approach to problem-solving with strong decision-making skills.
- Ability to handle various softwares, word processing, spreadsheets, presentations etc.
Accountability :
- Make and arrange official travel plans for executives
- Perform office duties that include ordering supplies and managing a records database, draft reports, letters of solicitation, proposals; prepares and coordinates oral and written communication with recruitment prospects
- Coordinate with executives, committee meetings, maintain confidential files and contact information; coordinates meetings, conferences both on and off site to support the Director
- Exhibit and maintain strong interpersonal skills and build relationships with stakeholders, including staff, board members, external partners
- Ability to learn new software such as Doodle polls and Director's Desk portal
- Work independently and with professional discretion on various tasks and assignments and provide brief on it to the Director in brief
- Possess excellent writing, editing, grammatical, organizational, research, management, and time-management skills
