Personal Assistant to Managing Director - Chemicals/Petro Chemical/Plastics/Rubber (2-3 yrs)
Job Title: Personal Assistant to Managing Director
Job Overview : The Personal Assistant to the Managing Director should provide Administrative and Secretarial support to ensure the smooth functioning of the office. This role involves managing the Managing Director's schedule, handling communications, coordinating meetings and conferences.
Responsibilities :
1. Calendar Management :
- Schedule and coordinate meetings, appointments, and travel arrangements for the Managing Director.
2. Communication :
- Act as the primary point of contact between the Managing Director and internal/external stakeholders.
- Manage emails, phone calls, and correspondence on behalf of the Managing Director.
- Drafting of professional documents, e-mails and letters.
3. Client/Member Support :
- Assisting to existing members with their inquiries, issues, and concerns in a professional and timely manner. This includes responding to phone calls, emails, and other forms of communication.
4. Client relationship/Membership Growth :
- Proactively reach out to potential members through various channels, including cold calling, email campaigns, and networking events, to promote the benefits of joining our organization.
5. Relationship Building :
- Cultivate strong relationships with existing members, understanding their needs and providing personalized assistance to enhance their membership experience.
6. Meetings :
- Organize and coordinate meetings, and conferences,
- Prepare meeting agenda and taking minutes for the same.
7. Travel Arrangements :
- Travel arrangements and accommodations for Managing Director.
8. Confidentiality :
- Maintain strict confidentiality of sensitive information and documents.
9. Office Organization :
- Manage filing systems and maintain documentation for Managing Director.
- To get/receive quotations/rates of raw materials from different vendors and any other work as directed by the Managing Director.
Qualifications :
1. Educational Background:
- Bachelor's degree for the relevant post is preferred.
2. Experience :
- Previous experience of at least two years as an personal assistant is must.
3. Communication Skills :
- Excellent written and verbal communication skills.
4. Organizational Skills :
- Strong organizational and multitasking abilities.
5. Technical Skill :
- Proficiency in Microsoft Office and other relevant software.
