Protiviti - Executive Assistant To MD (1-6 yrs)
Direct Reporting to the Managing Director(s), the job responsibilities will include:
- Servicing & supporting day-to-day operational work & administrative tasks of the Managing Director(s)
- Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients
- Scheduling interviews, calls & meetings for senior management levels and managing calendars
- Managing travel schedules and itineraries (all local, national & international travels)
- Approving travel, leave, expense & other request of sub-ordinates on behalf of MD
- Collaborating and coordinating with multiple stakeholders & departments, both, internally with IT, HR, Finance, Admin, Business team, etc.) and externally (clients, vendors, advisors and other third parties)
- Prepare internal and external corporate documents (e.g., reports, memos, invoices, contract documents, corporate letters, timesheets, etc.) for MDs, team members and industry partners. Coordination for all necessary approvals and digital signatures on necessary documents for company compliance and operations related
- Preparing minutes of meetings (MoM) and Action-items and pro-active in gentle follow-up
- Arrange corporate events to take place outside of the workplace (E.g., Business conferences, seminars, client speak events, NGO Events, staff appreciation events, etc.)
- Filing and retrieving corporate records, documents, and reports. Maintain an organized filing system of both physical paper and electronic documents
- Researching and conducting data analysis to prepare documents & presentations for review and presentation by boards of directors, committees, and executives
- Active participation in special projects on behalf of MD such as IT implementation projects, customer satisfaction survey and other IT initiatives and content management, etc.
- Should be very well versed with usage of digital technologies & software on both laptop and handheld devices.
- Should have advanced Microsoft Office skills (Excel, Word & PPT), with an ability to become familiar with firm-specific programs and software
- Should have excellent communication skill (both oral and written). Should be proficient in at least English and Hindi. Communication should be clear, crisp, and unambiguous
- Need to uphold a strict & highest level of confidentiality and integrity
- Develop and sustain the highest level of professionalism among staff and clientele
- Self-motivated professional, and capable of managing the workload, multi-tasking, and prioritizing tasks in a dynamic corporate environment
- Friendly and professional demeanor with exceptional inter-personal skills
