Receptionist (2-4 yrs)
Job Overview:
We are seeking a dynamic and professional Receptionist cum Admin Executive (female preferred) to be the first point of contact for visitors to our corporate office. The ideal candidate will possess exceptional communication and organizational skills to efficiently manage day-to-day front-office operations and support administrative tasks for a seamless office experience, particularly catering to global visitors.
Key Responsibilities:
1. Reception and Visitor Management:
- Greet and welcome visitors, clients, and guests in a professional and friendly manner.
- Manage the visitor log-in process and ensure proper visitor passes are issued.
- Provide assistance to global visitors with necessary information related to office policies, local area guidance, and meeting schedules.
o Coordinate with relevant departments to ensure visitors' comfort and punctuality during meetings.
2. Phone and Email Communication:
- Handle all incoming phone calls, direct inquiries to the appropriate person, and take messages when necessary.
- Respond to email inquiries, and forward them to the correct departments for further handling.
- Maintain a courteous and professional tone while interacting with clients, partners, and internal teams.
3. Administrative Support:
- Assist with day-to-day administrative tasks including office supply inventory, ordering supplies, and maintaining office organization.
- Coordinate and schedule meetings, appointments, and conference room bookings for both internal and external stakeholders.
- Prepare, organize, and maintain office documents, files, and records.
- Assist in coordinating corporate events, meetings, and other internal functions.
4. Travel and Logistics Coordination for Global Visitors:
- Assist in arranging transportation and accommodation for global visitors and ensure smooth logistics for business trips.
- Help facilitate the scheduling of meetings and provide necessary arrangements for international visitors, including meeting rooms, refreshments, etc.
5. Office and Facility Management:
- Oversee the office reception area to ensure it is always clean, well-organized, and welcoming.
- Coordinate with facility management for office maintenance and any repair needs.
- Ensure the office environment is in compliance with health and safety standards.
6. Handling Correspondence and Documentation:
- Sort and distribute incoming mail and packages.
- Ensure all outgoing mail is correctly packaged, labeled, and dispatched.
7. Miscellaneous Tasks:
- Assist other departments with various administrative and clerical duties as required.
- Handle confidential information with discretion and professionalism.
Qualifications & Skills:
- Education: Bachelor's degree in any field (preferred).
- Experience: 2+ years in a receptionist or admin executive role, with exposure to handling international clients or visitors preferred.
- Communication Skills: Excellent verbal and written communication skills; proficiency in English is mandatory, and additional languages would be a plus.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), and familiarity with office equipment (printers, phones, etc.).
- Interpersonal Skills: Ability to interact with high-level executives, clients, and visitors in a professional, courteous, and confident manner.
- Cultural Sensitivity: Comfort in working with global visitors from diverse cultural backgrounds.
- Problem-solving and Organizational Skills: Strong attention to detail with excellent multitasking and time management abilities.
