Science Gallery - Facility Manager (5-25 yrs)
The Facility Manager at Science Gallery Bengaluru is responsible for the comprehensive management and oversight of all Mechanical, Electrical, and Plumbing (MEP) services, including critical systems such as HVAC, electrical power, water treatment, and fire safety. The Facility Manager will coordinate with external agencies, manage budgets, and ensure compliance with safety and regulatory standards. Additionally, the role involves developing and implementing preventive maintenance programs, handling crisis management, and supporting sustainability initiatives.
Key Responsibilities:
MEP Services Management:
- Oversee and Hands -on with all MEP (Mechanical, Electrical, and Plumbing) services, including Electrical Power (LT, HT panels, OLTC, ELV, transformers, DG), Chiller Plant, WTP, HVAC, AHU, VFDs, STP, Fire Hydrant Pump Room, Passenger and Service Lifts.
- Manage housekeeping, waste management, pest control, gardening, and security services.
- Coordinate with external agencies like BESCOM, BWSSB, BBMP, and other relevant authorities.
- Preventive Maintenance and AMC:
- Ensure all planned preventive maintenance activities and Annual Maintenance Contracts (AMC) are executed according to a 52-week schedule.
- Track AMC, warranty periods, and defect liability periods.
- Manage downtime and breakdowns, ensuring prompt resolution.
- Standard Operating Procedures (SOPs):
- Develop mandatory procedures and SOPs for MEP, HVAC, WTP, Fire Hydrant Room, and related checklists/permits in line with the institution's integrated management system.
- Facility Operations Management:
- Monitor log books, schedules, and checklists daily.
- Oversee attendance tracking for technical and housekeeping staff.
- Manage garbage segregation, clearance, pest control, and landscaping.
- Handle crisis management and emergency procedures.
- Manage procurement, stock, and supply chain activities.
Building Management:
- Oversee the maintenance and upkeep of all facilities, including buildings, equipment, and grounds, in coordination with the landlord.
- Identify and resolve facility-related issues, ensuring root causes are addressed.
- Collaborate with external service providers, contractors, and suppliers to coordinate AMC visits, repairs, maintenance, and renovations.
- Ensure compliance with organizational and governmental safety standards.
- Maintain accurate records of facility operations, maintenance activities, and safety compliance.
Budget and Resource Management:
- Monitor expenses, identify cost-saving opportunities, and recommend facility improvements.
- Manage budgets and track expenses related to facility operations and soft services.
- Prepare work orders (WOs), purchase orders (POs), and process invoices for timely submission.
Regulatory and Statutory Compliance:
- Ensure compliance with all regulatory and statutory requirements, including BBMP, KSPCB, CPCB, and other relevant bodies.
- Submit monthly returns and maintain proper documentation for auditing purposes.
Project Management:
- Oversee the complete operation of security, M&E services (Power, WTP, HVAC, Lifts, STP), housekeeping, waste management, pest control, gardening, and event management.
- Prepare snag lists, manage defect liability periods (DLP), and follow up on bank guarantees.
- Take ownership of building handover from contractors, including documentation.
Energy and Sustainability Management:
- Manage energy consumption and implement energy-saving measures.
- Implement best sustainability practices and ensure environmental compliance.
Emergency Preparedness:
- Develop and implement emergency response plans.
- Coordinate move-in/move-out processes and manage gate passes.
Event Coordination:
- Coordinate with internal teams for events, meetings, and other activities within the facility.
Person Specifications:
- Bachelor's degree in Engineering (Mechanical, Electrical) or Facilities Management.
- Minimum 5 years of experience in facility management, preferably in a similar industry.
- Strong knowledge of mechanical, electrical, and plumbing systems.
- Experience with energy management and sustainability practices.
- Excellent leadership, communication, and problem-solving skills.
- Ability to work under pressure and manage multiple tasks simultaneously.
- Certification in facility management (e.g., CFM, FMP) is desirable.
