Job Title : Senior Admin/Facilities Manager

Job Description :
- General administration, facility management, Supervising day-to-day operations of the administrative & facility, Housekeeping and security members. Hiring, training, and evaluating employees, taking corrective action when necessary. Developing, reviewing, and improving administrative systems, policies, and procedures.
- General Administration - Supports general admin and operations by supervising staff; planning, organizing, and implementing administrative systems. Front office management, material inward/outward, courier records maintenance etc. keep up the premises neat and clean. Local procurements, fixed asset management, Head Office Liaison, employees engagement and event management support, visitor engagement etc.
- Facility Management - Day-to -day office Maintenance, major/minor repairs, vendor liaison, logistics and execution, Liaison with landlords, lease renewals. Pantry and cafeteria admin and maintenance, Stationary and office supplies
- Security & Housekeeping - Day to day work allocation & monitoring, Liaison with Third Party contractors, Contract staff appointments & termination, benefits and Contract staff ESI, PF and Employer's liability insurance. Maintains administrative staff by recruiting, selecting, orienting, and training/ coaching, counselling and disciplining employees; maintaining a safe and secure work environment;
- Travel support - Employees VISA Processing, travel booking, Forex arrangements, Travel insurance and Employee Travel settlements
- Imports and exports administration - Import guidelines, import invoices review and approvals for shipments, Exporter liaison on documentation and advisory services, Liaison with STPI and customs for approvals. Customs and STPI Documentation.
- Monthly, quarterly and annual return filing with STPI, STPI invoices processing, Customs & Excise liaison for inspections
- Compliance reports for Customs and central excise, CHA liaison on imports and exports, De-bonding-IUT documentation
- Banker's liaison on export invoicing and GR waivers, Co-ordination with Freight Forwarders and Invoice processing of CHA and freight forwarders
- Accounting & Payment support - Petty cash maintenance, expensing and accounting, Liaison with accounting auditors and US office, Invoice submissions, Export invoices and debit notes generation support. Form 16A support to vendors, P-card expenses and T & E card requisitions and expense reporting etc.
Other desired skills :

- Proficiency with computers, especially MS Office.
