TheSocials - Executive Assistant (3-6 yrs)

This role will be part of the CEO's office and will be responsible for providing secretarial and administrative support to the Chief Executive Officer & Executive Members as required.

Key Responsibilities:

- Calendar management: Manage the CEO's calendar, scheduling appointments, meetings, conferences, telecons, and travel arrangements. Depending on the importance and urgency of the matter, exercise judgement finding appropriate time on the CEO's calendar with relevant stakeholders.

- Travel arrangements: Prepare travel itinerary and work with the admin SPOC and travel partner to make necessary travel arrangements for the CEO, including booking flights, hotels, rental cars, and other transportation / accommodation / arrangements as required.

- Meeting / engagement management: Serve as the first point of contact for the CEO's office.

- Organize and manage meetings, including drafting agendas, preparing meeting materials, and taking minutes. Ensure relevant draft / inputs from concerned team(s) are received in time for CEO's speaking engagements. Manage information flow in a timely and accurate manner.

- Work closely with other leaders and teams to execute initiatives and events that are driven by the CEO's office.

- Correspondence and records management: Manage the CEO's email and correspondence, ensuring that messages are appropriately prioritized, responded to, and filed. Organize and maintain all important documents used by the CEO for travel and other procedural requirements.

- Administrative tasks: Responsible for a range of administrative tasks, such as managing expenses, contact list, processing invoices, and other paperwork. Carry out preliminary research and suggestion solution / options for travel / logistics and similar administrative support. Ensure proper filing and retrieval systems including maintaining notes of meeting discussions.

- Confidentiality: Maintain strict confidentiality at all times for sensitive and confidential information.

- Relationship management: Serve as an effective coordinating point of contact among executives, employees, clients and other external partners. Develop and maintain relationships with key stakeholders, partners, and other executives.

PRIOR EXPERIENCE AS AN EA IS MANDATORY

- Extremely organized and well ingrained in the pace of the startup culture, i.e. accustomed to the pace, patient, resilient and a problem solver with a can-do attitude.

- Exercise judgment, discretion, and confidentiality in managing work.

- Flexible, adaptable and accessible to the senior executive and team(s) they work with.

- Resourceful in getting the work done.

- Excellent communication and interpersonal skills; can build rapport with colleagues immediately and cut across team.

- Good handle on managing domestic and international travel.

- You have three to five years of administrative / executive assistant experience.
