Receptionist Job Responsibilities :
Serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system.
Job Responsibilities :
- Good Communications Skills MUST
- Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
- Directs visitors by maintaining employee and department directories; giving instructions.
- Attending all Incoming / Outgoing via EPBAX system and forwarding the same to the concerned person / Department or keep messages
- Upkeep of reception area, tidy and presentable with all necessary material (pens, paper etc.)
- Making Entries of all Incoming Mails and Couriers
- Receiving and dispatching deliveries
- Ensure the list of staff extensions and mobile numbers is updated and distributed accordingly
- Conference room management
- General administration of front office area/Managing Front Office Operations
- Perform routine office tasks as necessary/Any other duties as assigned
- Responsible for Handling Corporate Travel Desk
- Strong communication skills (verbal and written)
- Possess good knowledge of Domestic and International boundaries.
- Handling all functions related to Hotel Booking and Travel Arrangements (Airlines, Bus, Car and Railway)
- Taking care of cancellations and refunding of the bookings.
- Coordinating with Travel Agents.
- Maintaining complete record, files and documentation related to travel desk.
- Handling and overseeing domestic and international travel arrangements (air, lodgings etc) and operations
- Negotiate contracts or rates with travel agencies
- Monitor the travel budget and ensure travel accommodations are within budget
- Performing ad-hoc administration duties
- Possibly managing office supplies such as stationery, equipment and furniture
- Maintains safe and clean reception area by complying with procedures, rules, and regulations. Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Diary management and management of meeting rooms
- Possibly handling event coordination, both internally and externally
- Contributes to team effort by accomplishing related results as needed
- Maintains security by following procedures; monitoring logbook; issuing visitor badges.
